Our third annual Virtual Road Trip began earlier this month and wraps up in late August, in which time we are interviewing small business owners in all 50 states, via Skype or Google Hangout. This requires keeping track of 50 businesses in 50 states, scheduling them all and having all of this information readily available to all of our team members. Our team uses Open Xchange (we call it Ovaleye Xchange), a collaboration suite including email, calendaring, address books, shared documents, even your twitter feed. We love Ovaleye Xchange so much we make it available to our hosting members.
We are using the calendar to organize all of our interviews. Each interview scheduled is input as a calendar entry and the interviewer is added to the entry as a participant. This sends the interviewer a notification of the entry and gives them the option to accept or decline. If you happen to add a participant to an entry at a time they are unavailable, OX notifies the scheduler that the added participant is not available at that time. Upon scheduling an interview, the new entry also automatically syncs with our iPhones, keeping all of our calendars current at all times. Have a re-schedule? No problem, we simply edit the appointment and OX notifies the other participants that the time and or date has changed.
Document sharing, known as Infostore, is also making our trip a lot easier. We upload a document to the Infostore and then are able to send team members a link to this document. Items in the Infostore can be downloaded and edited while OX has an area to make revision comments which are visible to others.
It's also important that we keep up on our Twitter accounts too! Even before the interviews get published we are tweeting with the interviewees. OX has an easy to integrate Twitter feed so we can tweet right from the same client that we just emailed from, scheduled an interview in and uploaded a document to!

Summertime brings lots of fun and excitement for Ovaleye. Our Virtual Road Trip is going strong and we are connecting with some fabulous entrepreneurs in many states. I have really enjoyed our marketing efforts this past year and love to meet and connect with small business owners that can share their struggles and tips in building their own businesses.
